Planning your yearbook

How early should we start planning our yearbook?

For end-of-summer-term delivery, we recommend starting the conversation between September and February. The earlier you start, the more options you have on format and finishes, and the less last-minute pressure on whoever is collecting content.

What is the minimum order quantity?

We don't have a fixed minimum — we've printed everything from a single class set of 30 to whole-school orders of several hundred. Per-book pricing improves with quantity, and we'll always tell you the honest break points so you can plan.

Can parents pay directly?

In Phase 1 we invoice the school or PTA. From Phase 3 (later in the academic year) parents will be able to pay individually via Stripe links generated by the school. Talk to us if your project needs that flow now and we'll work something out.

Can we order extra copies later?

Yes — extra copies can be reprinted from the same approved files. Per-book cost is higher on small reprints, so it's worth ordering a small buffer with the original run if you can.

How do we handle pupil photos and permissions?

Photo permissions are the school's responsibility. We don't store identifying information beyond what's in the artwork you supply, and we never use pupil photos for marketing. Build 3 of our platform will add a permissions tracker for schools that want it formalised.

Formats & finishes

Can you print paperback yearbooks?

Yes — paperbacks are our most popular format for primary schools and large year groups. Full colour throughout, with gloss or matt laminated covers.

Can you print hardback yearbooks?

Yes — casebound hardbacks with a premium feel, optional foil blocking on the cover, and matching endpapers. Particularly popular with Year 11 and sixth-form leavers.

What is thread-sewn binding?

Thread-sewn is a traditional bookbinding method where sections of pages are stitched together with thread before being bound into the case. It produces a stronger book that opens flat and feels closer to a published novel than a school yearbook. It's our highest-quality option.

Is hardback worth it for a school yearbook?

For a leavers' book that pupils are meant to keep for decades, almost always yes — the difference in feel is significant. For a Year 6 class set where budget is tight, paperbacks are entirely respectable. We'll happily talk you through the trade-off.

What paper options are available?

Silk is the standard for full-colour interior pages — it has a slight sheen and renders photos beautifully. Uncoated is available for a more textured, editorial feel. Cover stocks are sturdier; we'll match them to the format you choose.

Can you print full colour throughout?

Yes — every yearbook we produce is full colour throughout the interior. Pricing already assumes full colour, so there's no surcharge to worry about.

Files & artwork

Can you help if we are using Canva?

Yes. Canva exports to PDF cleanly if you set up the document at the right size with bleed. We have a short Canva guide and we can also check your file before printing — see the Artwork guide for details.

Can you check our artwork before printing?

Yes — every order gets a preflight check (page size, page count, fonts embedded, image DPI, cover spine width). We'll flag anything that looks off and a digital proof is sent for your approval before anything goes to print.

Do you offer design support?

Yes. If you don't have a print-ready PDF, we offer a paid typesetting service — share what you've got (Word document, photos, plain text) and we'll lay it out for you. The Contact page is the way to scope that.

What happens if we spot a mistake after approval?

Once a proof is approved we go to print, so changes after that point may mean a reprint at cost. The proofing stage is exactly there to catch this — take your time, get a couple of pairs of eyes on it, and then approve.

Production & delivery

How long does production take?

Once a proof is approved, paperbacks typically take 7–10 working days, hardbacks 10–14 working days, and thread-sewn hardbacks 14–18 working days. We confirm an exact target with every order.

Do we get a proof before printing?

Always. A digital proof is emailed for review and explicit approval before the book goes to production. Nothing prints until you say yes.

Can you deliver to the school?

Yes — UK delivery direct to the school is included in pricing for orders above the standard quantity threshold. Small orders carry a flat delivery charge that's shown clearly at quote time.

Can you help with a tight deadline?

Sometimes — it depends on what's already in the production queue and the format you've chosen. Get in touch as early as you can and we'll be honest about what's achievable.

Are yearbooks VAT exempt?

Printed books in the UK are zero-rated for VAT, and yearbooks generally qualify. Your invoice will reflect this. (As ever, check with your school finance team for the definitive answer for your specific circumstances.)
